Choose an installer who explains the whole project

Choose an installer who can explain the water-load specification, site connections and final verification. A quick equipment recommendation and a single lump-sum price leave too much unresolved. A strong proposal states what will be installed, why it fits and how the owner will know it works.

This is a quote-review checklist, not a contractor directory. Use installer search guidance to identify local candidates and send them the same project brief.

Assess the sizing explanation

Give each candidate untreated hardness, known or estimated treated gallons, household demand and simultaneous fixtures. Ask for efficient working capacity at the proposed salt dose and service-flow/pressure-drop information. For a well, ask which measured water conditions justify any additional equipment.

Reject unexplained capacity substitutions. If one installer recommends a much larger unit, they should connect the recommendation to load, flow, reserve or a model limitation. “It is our most popular size” is not enough reasoning for your water.

Verify the delivered equipment

The quote should name the exact model and assembler, resin quantity where relevant, valve/controller, included bypass and accessories. Ask for performance and warranty documents before paying a deposit. If certification is claimed, request the certifier and exact listing.

NSF's certified-product search is one verification route. Match a full-system claim to the actual model; do not treat a component listing as certification of a different assembled configuration. Clarify which organization holds the relevant record.

Review the site scope line by line

Require the proposal to identify treated branches, loop work, pipe size, bypass, drain receptor/air gap, electrical work, required permits and removal. Ask what happens if concealed plumbing or inadequate drainage is discovered. Set a written change-order process so additional work is reviewable before it is performed.

Verify any required trade license with its issuer and obtain relevant insurance information. Ask for experience with the exact equipment, especially for an owner-supplied system or separately assembled valve platform. A plumbing connection and a complete commissioning service are different offers.

Specify the handover

Ask for startup and regeneration checks, a leak check, recorded hardness/capacity/salt settings and a treated cold-water hardness result. Request a demonstration of bypass and shutoff, along with normal salt and brine-water behavior. The owner should leave with the manual, warranty and a clear service route.

Compare accountability as well as price

Separate equipment warranty from labor, travel and diagnostics. Ask who returns for an early leak or incorrect programming and what recurring maintenance is actually included. If financing or rental is proposed, evaluate its terms separately from the installation price.

Use installation cost to organize the same scope for every candidate. Favor a written offer that closes the water, flow, drain and support questions at an affordable total. It should be understandable before work begins and verifiable when the installer finishes.
